This policy explains what personal data Aldbry collects when you visit our website, book a call or get in touch, how we use it, and the rights you have over it.

1. Who we are

Aldbry AI Consulting (“Aldbry”, “we”, “us” or “our”) is a UK consultancy that helps construction and engineering firms use AI to reduce documentation, compliance and reporting work.

We are the data controller for the personal data described in this policy, which means we decide how and why it is used. Our address is 167-169 Great Portland Street, London.

2. The data we collect

When you book a call, complete a contact form or email us, we collect the information you choose to give us, which typically includes:

  • your name
  • your email address
  • your phone number
  • the company you work for and your role
  • any details you share about your business, projects or requirements

We also receive limited technical information when you visit the website, such as your IP address, browser type and the pages you view. This is processed by our hosting provider to deliver and secure the site.

Our website does not currently use advertising or analytics cookies. If that changes, we will update this policy and ask for your consent where the law requires it.

We do not intend to collect any special category data (such as health information). Please do not include it in messages to us.

3. How we use your data

We use your personal data to:

  • respond to your enquiry and arrange, prepare for and hold calls or meetings
  • send you information you have asked for, such as a proposal or quote
  • deliver our services if you become a client, including managing the engagement and invoicing
  • keep business records and meet our legal, tax and accounting obligations
  • keep the website secure and working properly
  • send occasional updates about our services, only where you have agreed to this or where the law otherwise allows it. You can unsubscribe at any time.

We will never sell your personal data.

4. Our lawful basis

Under UK data protection law we must have a lawful basis for using your personal data. We rely on:

  • Legitimate interests: to respond to business enquiries, hold introductory calls and manage our relationships with prospective and existing clients. We only do this where our interests are not outweighed by your rights.
  • Contract: where we need your data to take steps at your request before entering into an agreement, or to perform an agreement with you or your organisation.
  • Consent: for marketing communications where consent is required. You can withdraw consent at any time by clicking “unsubscribe” or emailing us.
  • Legal obligation: where we must keep certain records, for example for tax and accounting purposes.

5. Who we share it with

We only share your data where it is needed to run our business, and only with providers who are required to keep it secure and use it solely on our instructions. These include:

  • Booking and scheduling tools, used when you book a call with us
  • Form handling providers, used to receive the messages you send through our contact form
  • Email, calendar and cloud storage providers, used to communicate with you and store records
  • Video conferencing providers, used to hold calls and meetings
  • Website hosting and font providers, used to deliver this website (our site loads fonts from Google Fonts, which receives your IP address)
  • Professional advisers, such as accountants, insurers and lawyers, where necessary

We may also disclose data where required by law, or to protect our rights, property or safety.

6. International transfers

Some of our service providers may store or process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement or UK Addendum approved by the Information Commissioner.

7. How we keep it secure

We store personal data with reputable providers, limit access to people who need it, and use appropriate technical and organisational measures to protect it against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we take reasonable steps to protect your data.

8. How long we keep it

We keep personal data only for as long as we need it:

  • Enquiries that do not lead to an engagement: up to 24 months after our last contact with you
  • Client records: for the length of the engagement and then up to 6 years, to meet legal, tax and accounting requirements
  • Marketing preferences: until you unsubscribe or ask us to stop, after which we keep a minimal record so we do not contact you again

When data is no longer needed, we securely delete or anonymise it.

9. Your rights

Under the UK GDPR and the Data Protection Act 2018, you have the right to:

  • access the personal data we hold about you
  • rectification of inaccurate or incomplete data
  • erasure of your data in certain circumstances
  • restrict how we use your data
  • object to processing based on legitimate interests, and to direct marketing at any time
  • data portability, where processing is based on consent or contract and carried out by automated means
  • withdraw consent at any time, where we rely on consent

To exercise any of these rights, email info@aldbry.com. We will respond within one month. There is usually no charge. We may need to confirm your identity before acting on a request.

10. Complaints

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data protection regulator, at ico.org.uk or on 0303 123 1113.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page, with the date it was last updated shown at the top.
