What is the call for?
The call has one purpose: to look at a single job in your firm and decide, together, whether it is worth rebuilding. We are not there to run a discovery workshop, present slides or walk you through a roadmap. Thirty minutes is enough to understand one process well, and one process is all we ever start with.
By the end of the half hour you should know two things. Whether the job you have in mind is the right one to start with, and whether a 30 day rebuild is a good fit for your firm at all. Both answers are useful, including a no.
What should you have to hand?
Nothing needs preparing in a formal sense. Five minutes before the call, have these ready:
- The job you suspect. The one that keeps coming up when people complain about their evenings. A write-up, a report, a proposal, a client update, an evidence pack. If you took the audit, it will have suggested one; bring that or bring your own.
- Rough weekly hours. A guess is fine. How long does one instance take, and how often does it happen? If you want to firm the number up first, the unbillable hours calculator takes a minute.
- Who does it. Which roles produce it, who checks it, and who signs it off. The seniority of the people involved often matters more than the hours.
- A sample document or template. One finished example and the template it started from, if there is one. You do not need to send it in advance, and you can remove anything confidential. Having it open lets us talk about the real thing rather than a description.
What happens during the 30 minutes?
Most of the call is you talking and us asking. We will want to know how the job starts, what feeds it, where it gets passed from one person to another, what is checked before it goes out, and which parts the team dislikes most. The last question is usually where the hours are hiding.
We will then describe, briefly, what the rebuilt version of that job would look like in your firm: built on your own templates, running in the tools you already use, reviewed and signed off by one of your people before anything reaches a client. If it becomes clear the job is not a good candidate, we will say so and, where we can, point to one that is.
What happens after the call?
If the job is a fit, we scope it and come back with a fixed fee. That fee is set by the process: how many steps it has, how many documents and templates feed it, and what it has to connect to. It is agreed with you in writing before any work begins, and it does not move if the build takes longer than planned. There are no day rates.
Once it is agreed, the work starts with week one, mapping the job with the people who do it. From kickoff to live is 30 days, and if it is not live in 30 days, you do not pay.
