Services

Managed AI services for construction, done for you

We operate our proprietary system on your behalf, combining AI with experienced review, and deliver the documentation, compliance checking, reporting and records directly. Your competent people approve the output. You get the capacity without adding headcount or building anything in-house.

  • Monthly retainer
  • Scoped to your workflows
  • Your team approves

Who it is for

For firms that want the output, not another system to run

Training and implementation put our system inside your business. Some firms would rather not. They want the system run for them and the work handed back ready for review.

You want the output without building in-house

You have no appetite to set up tools, train teams and maintain systems. You want finished drafts and completed checks arriving in your inbox.

You are at capacity

Your project and site teams are stretched, and the paperwork is the part slipping. You need more hands on documentation without a long recruitment process.

Your workload peaks

Bid deadlines, mobilisation on a new scheme and project handovers create spikes of documentation that your team cannot absorb on top of live delivery.

What we deliver

Outsourced construction documentation, compliance and reporting

The scope applies our system to your workflows. Typical work falls into three areas.

Document production

Drafts ready for review

  • Site-specific RAMS and method statements from your templates
  • Construction phase plan content and CDM documentation drafts
  • Tender and PQQ responses from your past bids
  • Handover packs and O&M manual assembly
  • Draft correspondence and RFI responses

Compliance checking

Checks and flags

  • Subcontractor insurances, CSCS, SSIP, CHAS and Constructionline status
  • Prequalification returns checked against your requirements
  • RAMS reviewed against your template for gaps
  • Handover documents checked for missing certificates and as-builts

Reporting and records

Information kept up to date

  • Weekly progress and client reports from site diaries
  • NEC4 early warning and compensation event registers
  • Quality records organised against ITPs, with open NCRs tracked
  • RFI and technical query logs

How it runs

How the service works week to week

A simple, repeatable process. You send the inputs, our system does the heavy lifting, your people make the decisions.

Turnaround: turnaround for each type of work is agreed with you in the scope, based on your projects and deadlines, so everyone knows when to expect it.

  1. You provide the project inputs

Site diaries, templates, project information, subcontractor documents, correspondence or tender documents, shared through the channels agreed in the scope.

  2. We produce drafts and checks

Within our system, AI drafts, extracts, compares and flags, working to your templates and standards.

  3. Experienced review before it reaches you

Our team reviews the output for completeness, consistency and obvious errors, drawing on real UK construction delivery experience.

  4. Your competent people approve

Drafts come back clearly marked for review. Your responsible people check, amend and sign off before anything is issued, briefed or submitted.

  5. Feedback improves the next round

Your comments feed back into the templates and instructions we work to, so outputs fit your firm more closely over time.

Quality and accountability

Clear lines of responsibility on every document

Outsourcing documentation should never blur who is accountable for it. We keep it explicit.

What we are responsible for

  • Producing drafts and checks to the agreed scope and templates
  • Reviewing our output before it is returned
  • Flagging gaps, assumptions and anything that needs a decision
  • Delivering within the turnaround agreed in the scope

What stays with your firm

  • Competent-person review and approval of every document
  • Site-specific knowledge and safety judgements
  • CDM duty holder responsibilities and temporary works decisions
  • Issuing contractual notices and client submissions

Data security

Your project information, handled carefully

Construction documents contain client information, personal data and commercially sensitive detail. Before the service starts, we agree how information is shared with us, which tools are used to process it, where it is stored and how long it is kept.

We work to your firm's IT and data policies and your clients' requirements, and we set out those arrangements in the scope so there is no ambiguity.

Flexible capacity

Scale up and down with your workload

Construction workload is not steady. A bid season, a new framework call-off or several handovers landing at once can pile a sudden surge of paperwork onto the same people.

Because the service is scoped around your workflows, it can be adjusted as your pipeline changes: extended to cover a peak, or reduced when things settle, by agreement.

Compared with hiring

A different way to add documentation capacity

Hiring has its place. But for document-heavy work that rises and falls, it is worth comparing the two honestly.

  • Getting startedRecruiting a document controller, bid writer or assistant project manager takes time to advertise, interview and onboard. A managed service starts once the scope and data arrangements are agreed.
  • FlexibilityA new hire is a fixed cost whether the workload is high or low. A retainer can be adjusted as your pipeline changes.
  • Range of workOne person rarely covers RAMS, compliance checks, NEC4 registers, tenders and handover packs equally well. The service is scoped across the workflows you need.
  • Management overheadStaff need supervising, training and covering during leave. We manage our own team, system and process.
  • Where hiring winsIf you need someone permanently embedded in a site team, or want the knowledge to stay in-house, hiring or our training and implementation services may suit you better.

Format

Monthly retainer, scoped to your workflows

Every managed service is scoped around the specific workflows, volumes and turnaround your firm needs, then delivered on a monthly retainer.

Most firms start with the AI Opportunity Audit, which shows which workflows are worth handing over first.

What you can expect

  • Paperwork off your project and site teams' desks
  • Drafts that follow your templates and standards
  • Compliance gaps and expiries flagged before they become problems
  • Reports and registers kept current across projects
  • Capacity for bids and handovers without a hiring round
  • Accountability kept firmly with your competent people

Getting started

Setting up a managed service properly

A document production service only works if it is set up around your standards from the start. That is where the effort goes before the first draft is produced.

01

Start with the audit

The AI Opportunity Audit shows which workflows take the most time and which are suited to being handed over, so the service starts where it helps most.

02

Agree the scope

Together we set out the workflows covered, the templates and standards we work to, who approves each output, the turnaround for each type of work and how information is shared.

03

Start, then refine

We begin on live work, check early outputs closely with your reviewers and adjust until the drafts fit the way your firm writes and checks its documents.

Managed AI services FAQs

Who signs off the documents you produce?

Your firm does. We produce drafts and checks and review them before they come back, but your competent people remain responsible for approving RAMS, method statements, quality records, notices and anything issued to clients or site.

Do we need any AI tools of our own?

No. That is the point of a managed service. You send the inputs in the agreed way and receive the outputs back. We operate the system, the tools and the process.

Can the service cover a single bid or handover?

The service is delivered as a monthly retainer scoped to your workflows. Talk to us about your pipeline and we will discuss how best to cover peaks like bids and handovers.

How is our data protected?

We agree how information is shared, processed, stored and retained before the service starts, in line with your IT policies and client requirements. See our privacy policy for how we handle personal data.
