Every project repeats the same paperwork. The same information gets typed into a diary, then a report, then a spreadsheet, then an email. Your best people spend their week moving information around instead of using it.

What construction admin automation looks like in practice

These are realistic examples of workflows our system handles. Each one keeps a person in control: within the system, AI does the drafting, extracting, checking and flagging, and your team reviews and approves.

Site-specific RAMS and method statements

AI drafts site-specific RAMS and method statements from your approved templates and the project information: location, activities, plant, sequence and known hazards. It flags gaps against your template. A competent person reviews, adds site knowledge and signs off before briefing.

Site diaries into progress and client reports

Daily diaries and reports are pulled together into a weekly progress report or client update in your format, covering work completed, labour and plant, delays, weather and issues. The project manager edits and approves before it is issued.

Inspection and quality records against ITPs

Inspection results, photos and notes captured on site are organised against the relevant inspection and test plan, with missing hold points and outstanding NCRs flagged for the quality lead to action.

Subcontractor compliance checks

Incoming subcontractor documents are read and logged: insurance certificates and expiry dates, CSCS cards, SSIP, CHAS or Constructionline status and prequalification returns. Expiring or missing items are flagged so your team can chase them before anyone arrives on site.

NEC4 early warning and compensation event registers

Correspondence and meeting notes are reviewed for potential early warnings and compensation events, the registers are kept up to date, and draft notices are prepared for the commercial or project manager to review, amend and issue within the contract.

Tender and PQQ responses

Draft answers to quality questions and PQQs are built from your past bids, case material and policies, matched to the question and word limit. The bid team tailors, checks accuracy and approves every answer.

Handover packs and O&M information

Documents from across the project are gathered, checked against the handover requirements and organised into a structured pack, with missing certificates, as-builts or O&M content listed for follow-up.

RFIs and technical queries

RFIs are logged and tracked, relevant drawings, specifications and previous responses are found, and a draft response or summary is prepared for the engineer or designer to confirm.

We do not ask your teams to abandon the software they know. Wherever practical, our system is embedded inside the tools your firm already relies on.

That typically means working with Microsoft 365 and SharePoint, or Google Workspace, for documents, email and file storage, and connecting with your existing project and document management platforms where they allow it. We assess what is possible during discovery and apply AI inside how your firm actually works, rather than forcing a new setup on you.
