Why RAMS take so much time
A good risk assessment and method statement is specific to the task, the location and the people doing the work. Producing one means reading drawings and specifications, understanding the sequence, identifying hazards, selecting controls, and cross-referencing permits, temporary works and emergency arrangements.
Then comes the rest: formatting to the principal contractor's template, responding to review comments, reissuing after a change in scope, and briefing the operatives. Multiply that across every activity and every subcontractor package and it becomes a significant part of a supervisor's or engineer's week.
The generic versus site-specific problem
Under time pressure, the natural response is to copy a previous document and change the project name. Everyone in the industry has seen the result: RAMS that describe the wrong access route, reference plant that is not on site, or miss a hazard unique to this location, such as buried services, a live carriageway or an adjacent structure.
Generic RAMS fail twice. They do not properly protect the workforce, and they are often rejected at review, which costs more time than writing them properly in the first place. The value of AI here is not producing documents faster. It is making site-specific documents achievable in the time available.
How AI drafts from approved templates
Done well, AI drafting starts from your firm's own approved material, not from a blank prompt. The inputs are:
- Your approved RAMS template and standard hazard and control library.
- The project information: scope, drawings, specification, programme and site constraints.
- Relevant project documents such as the construction phase plan, temporary works design and permit procedures.
From these, AI can produce a first draft that follows your structure, describes the sequence for this job, and pulls the relevant hazards and controls from your library. The competent person starts from something specific and corrects it, rather than starting from an old document and hoping to catch everything.
AI as a reviewer
Checking is often where AI earns its place first, because it adds a layer rather than replacing one. Given a completed RAMS and your template, AI can flag:
- Sections left blank or still containing placeholder text.
- Inconsistencies, such as plant listed in the method but missing from the risk assessment.
- Hazards commonly associated with the described activity that the document does not address.
- Missing references to permits to work, permits to dig, lifting plans or temporary works.
- Details that do not match the project, such as the wrong site address or emergency contacts.
These are prompts for a human reviewer, not verdicts. They help a busy reviewer spend attention where it is most needed.
What must stay with competent people
Important: AI never approves RAMS. Hazard identification, the choice of controls, the adequacy of the method and final sign-off stay with competent people who understand the work and the site.
AI cannot walk the site, see the ground conditions or judge whether a gang has the experience for the task. It can suggest a control that sounds reasonable but is wrong for the situation. Accountability for the safe system of work does not change because a tool produced the first draft.
Briefing still matters
A RAMS that has not been understood by the people doing the work is just paper. AI can help here too, producing a plain-English briefing summary of the key hazards and controls, but the briefing itself, the questions and the signatures belong on site with the supervisor and the gang.
A safe workflow
- Load approved templates and a controlled hazard and control library.
- Provide the project information for the specific activity.
- AI drafts the RAMS and lists any assumptions or missing information.
- A competent person reviews, corrects and completes the draft.
- AI checks the revised version against the template and flags gaps.
- The competent person approves, and the document goes through your normal review.
- The supervisor briefs the workforce and records attendance.
Pitfalls to avoid
Hallucinated controls
AI can invent references, quote standards incorrectly or describe controls that do not exist on your site. Constrain it to your approved library and make reviewers check every control against reality.
Consumer tools and project data
Pasting drawings, names and site details into a free consumer chatbot is a data protection and confidentiality risk. Use business-grade tools with clear data handling, set up for your firm.
Skipping the review because the draft looks good
Well-formatted text reads as authoritative. Train reviewers to treat AI output as a draft from a new starter: useful, but checked line by line.
